Terms of service

Conditions for running groups, organising events and volunteering, with Australian consumer rights preserved.

Parties and acceptance

These terms govern use of Helper Shifts between Glu IO Pty. Ltd. and the individual or organisation using the service, effective 7 September 2026. Glu IO Pty. Ltd. owns and operates the site and is ultimately accountable for the service. By using Helper Shifts, you agree to these terms.

The person accepting an agreement must have authority to act for the organising committee or association. Committee use does not create a relationship with any school and does not bind a school or imply its endorsement. A separately signed agreement with the organising entity prevails over these general terms to the extent of inconsistency; its DPA governs data-processing matters.

Service operator: Glu IO Pty. Ltd. — owner and operator of Helper Shifts, ultimately accountable for the service.

Privacy, security and committee enquiries: A monitored service contact is awaiting confirmation. Existing users can contact their group organiser through their usual committee communication channel.

Include your group address, the nature of your request and a safe way to reply. Do not send passwords, sign-in links, student records or identity documents in an initial message.

Service and eligibility

Helper Shifts lets organisers publish events, allocate volunteer slots, manage bookings and export volunteer lists. It is intended for adult organisers and volunteers. It is not a school system of record, emergency service, employment agency, child-safety screening service or guarantee that a volunteer will attend.

Organisers must have authority to act for their committee or association, assess their group’s privacy responsibilities, give volunteers an appropriate collection notice and use contact information only for authorised purposes. The organiser remains responsible for event safety, supervision, insurance, permissions and required volunteer checks.

Accounts and acceptable use

Provide accurate information, protect passwords and sign-in links, use individual organiser accounts, review team membership and remove access when a role ends. Report suspected compromise promptly. Do not use shared accounts or share another person’s access link.

Do not impersonate a school or volunteer, submit another person’s details without authority, send spam, publish unlawful or abusive content, probe other groups’ data, bypass access controls or disrupt the service. Do not upload student, health, financial, identity or safeguarding records. Public event text must be suitable for public disclosure.

Volunteers must make bookings in good faith and contact the organiser or use supported cancellation options if their availability changes. A booking does not establish employment or confirm any required clearance.

Administrator use of helper contact details

Group administrators, including owners and co-admins, can view helpers’ names, email addresses, phone numbers and bookings for their group. Under these terms, administrators may access and use those details only to administer the helper’s scheduled shifts and contact the helper about those shifts. Permitted messages include confirmations, reminders, practical instructions, timing or location changes and cancellations.

Administrators must not sell, rent, trade, publish or otherwise disclose helper contact details outside authorised shift administration. They must not use the details for advertising, fundraising appeals, newsletters, unrelated mailing lists, political messages, personal approaches or recruitment for other events. Booking a shift does not grant permission for these uses. Any separate mailing-list subscription must be collected independently; a Helper Shifts export must not be used to populate it.

Within the group, access must be limited to authorised administrators who need the details for the permitted purpose. Do not share volunteer lists with sponsors, other groups, other helpers or unauthorised people. Use individual messages or BCC where appropriate so recipients cannot see other helpers’ email addresses. A communications provider may be used only as necessary to deliver permitted shift messages, with appropriate confidentiality and security arrangements and no independent use of the data.

These restrictions apply to information viewed in the dashboard and to CSV exports, screenshots, printed lists and copies in email or other systems. Keep copies secure, remove access when an administrator’s role ends, and delete copies when no longer required for the permitted purpose, subject to applicable recordkeeping duties. Records retained only because law requires retention must not be reused for unrelated contact.

Nothing in this section prevents a disclosure required by applicable law or a binding court or tribunal order. Limit such disclosure to what is required. Report suspected misuse or accidental disclosure promptly through the service contact and any applicable committee incident process. Breach of these restrictions may lead to proportionate suspension or termination under the terms’ suspension provisions.

Content, privacy and ownership

The organising group retains its rights in its content and records; individuals retain their privacy rights. The licence to the operator is limited to hosting, processing, displaying and transmitting content as necessary to provide, support and protect the service and comply with law. Publicly published event details are visible to visitors.

The operator retains rights in its software and branding. No licence permits selling volunteer data, unrelated advertising, AI training or claiming a school endorsement. Personal information handling is described in the privacy policy and, where executed, the committee’s DPA.

Availability, charges and changes

No contractual uptime, recovery time, support-hours commitment or certification is offered by these terms. Committees needing these commitments should agree a service schedule before relying on the service. Organisers should keep authorised records and an alternative means of coordinating events.

Any fees, payment terms or subscription renewals must be expressly agreed before being charged. These terms do not authorise an unspecified charge or automatic paid renewal. Material changes to service terms should be notified in advance, with an opportunity to stop using the service and obtain records; new processing purposes require appropriate authority.

Suspension and ending use

The terms permit proportionate restrictions where reasonably necessary to address misuse, serious security risk or legal requirements. Where safe and lawful, the operator should explain the reason, allow an opportunity to remedy it and provide a review channel. Urgent protective action may occur first, followed by an explanation.

A group may stop creating bookings at any time and request closure through the service contact. Export required records before deletion, subject to committee retention rules. Closure and erasure need an agreed process; no complete self-service account deletion or backup purge is currently promised. A signed committee contract should specify exit assistance, export format, retention exceptions and deletion confirmation.

Consumer rights and disputes

Nothing in the terms excludes, restricts or modifies non-excludable rights, guarantees or remedies under the Australian Consumer Law or other applicable law. No blanket liability exclusion, uncapped committee indemnity or zero-dollar liability cap is imposed by these terms. Any negotiated liability provisions require legal review and must preserve mandatory rights.

First raise a dispute with the service contact and identify the outcome sought. Both parties should try to resolve it promptly and in good faith. Nothing prevents seeking urgent relief or contacting a regulator. Governing state law and forum must be agreed in the final contract without removing mandatory consumer rights.
